Position Summary +

Provides administrative and operational support to the Finance Department in finance, procurement, and system coordination to ensure efficient processes and compliance with internal policies and procedures.

Key Responsibilities +
  • Provide comprehensive administrative, secretarial, and coordination support to ensure smooth departmental operations, demonstrating strong organization, communication and teamwork.
  • Handle sensitive information in a confidential manner, including drafting and preparing official correspondence, in line with ethical behaviour and integrity standards.
  • Manage all departmental correspondence and document control, including drafting, filing, tracking, and dispatch, ensuring proper record management, traceability, and audit readiness.
  • Coordinate end-to-end meeting arrangements, supporting effective stakeholder engagement, communication and operational execution.
  • Support departmental activities and initiatives, including meetings, cascades, and events, contributing to teamwork, knowledge sharing and results orientation.
  • Maintain and compile departmental man-hours records, ensuring accuracy and supporting resource tracking and operational management.
  • Assist with finance operations, including invoice processing, payment tracking, and budget monitoring, supporting financial management and prudent utilization of resources.
  • Support procurement processes, including purchase requests, vendor coordination, and documentation, ensuring compliance with internal procedures, governance and procurement controls.
  • Act as the department focal point for IT and systems coordination, supporting system access, issue resolution and digital records management to enable efficient operational workflows.
  • Compile reports and maintain trackers, ensuring data accuracy and compliance with internal policies, governance requirements and audit standards.
  • Perform other duties as assigned in support of departmental and organizational priorities.
Position Requirements +
  • Minimum Higher National Diploma in Business Administration, Business Accounting and Finance or any relevant qualification.
  • Having relevant experience in administration, finance, procurement or business support is an added advantage.
  • Having exposure to process improvements, systems enhancements or digital tools is an added advantage.
  • Demonstrate strong digital literacy, with the ability to learn and adapt to new systems and tools.
  • Proficient in Microsoft Office applications (Word, Excel, PowerPoint) with strong ability to produce accurate and high-quality work.
  • Strong organizational, multitasking, and prioritization skills, with the ability to manage multiple tasks effectively.
  • Demonstrates teamwork, adaptability, and a proactive approach to supporting departmental operations.
